Sample Purpose
A stock sample can demonstrate an existing construction, but it does not approve your dimensions, artwork or capacity. A custom construction sample resolves fit and assembly. A decorated sample adds material colour, print placement and finish. Identify the approval question before requesting samples so both parties know which differences from the proposed order remain acceptable.

Sampling Terms
The published policy offers stock samples without a sample charge and charges custom samples per order. Confirm availability, dispatch cost, tooling requirements and timing for the actual request. Several material or artwork versions may require separate samples. Do not use a general lead-time statement as a dispatch promise before sample scope and shipping arrangements have been agreed.
Contents Check
Load binders with the intended inserts, fit sleeves to the target device and evaluate pockets with the supplied card or document. Photograph issues alongside dimensions and reference marks. Distinguish a fit defect from an artwork change or a newly requested feature. A consolidated revision list is easier to implement consistently than conflicting comments sent by several reviewers.

Approval Records
Record sample identifier, date, drawing revision, material details, artwork and any accepted exceptions. Keep a physical reference where appearance or feel is important. Define whether a revised sample is required after a change. Approval should connect to the purchase specification and inspection plan so the factory and buyer compare production with the same reference.
