A description such as premium board or recycled cover is not a usable material specification. Record substrate, grade, thickness or grammage, colour, finish and intended application. Paper gsm describes mass per area; board or plastic caliper describes thickness. Neither alone establishes finished stiffness, and a multi-layer construction needs a separate record for each layer.

Printing, scoring, welding, adhesive joining and sewing place different demands on materials. Evaluate candidate grades in the intended process rather than approving a loose swatch alone. A surface that prints well may behave differently at a tight fold, while a lining can change a sleeve interior or hinge movement. Approve the finished material combination before bulk purchase.

Certified or recycled-content claims should identify the exact material and supporting documentation. Do not extend a site certificate to every article without checking scope. For a buyer-defined environmental or chemical requirement, agree the product, market and evidence needed before quotation. A familiar material name does not establish compliance for all uses or age groups.
The project record should link material identity to the approved sample and purchase specification. Agree how incoming colour, thickness, surface and relevant documentation are checked. A substitute grade requires review of both appearance and process behaviour, even if its nominal size matches. Ask the supplier to identify proposed substitutions before production rather than accepting an unexplained difference at final inspection.

Send a drawing or reference sample alongside quantity and delivery requirements. Material compatibility, applicable finishes and any subcontracted operations are confirmed during quotation.
Material identity, thickness or build-up against specification, colour and suitability for assembly.
Agree the reference sample and relevant acceptance points before the production run. The finished article is also checked for fit and function after downstream assembly.
